Starting with SMEs or medium sized companies to globally active corporations, clerical assistants are employed in all administrative and economic sectors. They carry out demanding administrative assignments as they possess a wide range of abilities and professional competencies.

Skills

Clerical assistants must be knowledgeable about several computer software and email usage and they also need to be proficient typists. Also, communication and writing skills are necessary for this position. Thus, a clerical assistant must have good customer service and interpersonal skills. The work of a clerical employee on a daily basis includes filing, word processing, preparing documents, utilizing computer software and operating office equipment.

Training

A clerical assistant doesn't need to undergo any specific training program; neither graduation is required for this post. A high school diploma is adequate. However, there are some basic computer knowledge which is mandatory for this profile such as Microsoft Office, use of internet and sending and receiving emails. If the applicant possesses additional software skills, then it's a bonus. Training might be provided by the organization which is specific to it or to a particular department. Qualities like sincerity, flexibility and a positive approach are necessary to perform the job well besides the qualifications. A person working for this post must also possess the ability to work under tight schedules and pressures, ability to work hard, ability to respond positively to the changing work environment and the ability to blend well within the organization. These qualities are expected to be in an individual and there is no training provided for this.

Post Secondary Education

There are some community colleges and vocational schools which offer programs for potential office workers to acquire clerical training. These programs usually take a period of 1 to 2 years to complete. Some vocational schools, after completing the program also provide a clerical certificate. There are also some associate degree programs in some community colleges such as applied science and applied business. A student can enhance his/her computer software knowledge, word processing and grammar skills by going to these colleges. Moreover, classes are also provided by some employment agencies in office administration.

On Job Training

On job training permits a new recruit to enhance his/her knowledge since several employers require clerical assistants to possess basic office skills to get the job. A clerical employee could therefore develop his/her skills and obtain new skills while performing daily administrative duties. Similarly, experienced clerical assistants generally assist new assistants with essential clerical tasks within a company. In addition, to develop the administrative skills and to get new skills some companies also offer training classes for new employees. Several organizations provide programs to test office skills, say the Bureau of Labor statistics. Clerical or administrative assistants might qualify for higher designations such as Certified Administrative Professional, once they gain certain amount of experience. A clerical worker, by passing a test in business ethics could achieve opportunities to advance in his/her career. He/she could develop more skills and become more capable with office technologies within a company. As a result, that individual might have an opportunity to advance to higher positions such as a clerical supervisor and office manager.
